Overview

The invoice payment review window helps users trace the payment history of a specific invoice. It is useful when a customer asks how an invoice was settled or when support needs to explain the balance on an account.

Helpful note: This guide focuses on reviewing payments already linked to an invoice. Use the Receive Payments guide for recording the payment itself.

How to review payments linked to an invoice in QBM so users can answer customer questions, trace settlements, and confirm payment history.

How It Works

From the invoice or related list, QBM opens a dialog showing the payments connected to that invoice, including references, dates, and allocated values.

Main Areas

Area What It Means When To Use It
Linked payments list Shows the payments already allocated to the invoice. Use it to confirm whether the invoice has been fully or partly settled.
Reference tracing Helps users identify which payment document was used. Use it when answering queries or reconciling disputes.
Allocation view Shows how much of each payment applies to the invoice. Use it when the invoice was paid through more than one transaction.

Recommended Workflow

  1. Open the invoice you want to review.
  2. Choose the option to view payments linked to that invoice.
  3. Review the list of connected payments, references, dates, and allocated amounts.
  4. Confirm whether the invoice is fully paid, partly paid, or still outstanding.
  5. Use the result in customer communication, reconciliation, or internal follow-up.

Best Practice

  • Use invoice-level payment review before assuming an invoice is unpaid.
  • Check partial allocations carefully when more than one payment was used.
  • Keep references clear so users can trace the settlement path easily.
