Reevaluate Inventory Transactions Guide

Use this guide when QBM must recalculate inventory transaction values for selected items, dates, transaction types, or zero-cost corrections.

What Reevaluate Means

Reevaluate Inventory Transactions recalculates inventory transaction cost and value within the selected date range. It can affect stock value, cost of goods sold, gross profit, and account balances.

The form warns that reevaluating transactions updates transactions within the selected dates except closed dates, and this may affect account balance. All users must be logged off and the database must be backed up before continuing.

The screen title is Reevaluate inventory transactions.

When To Use It

  • After an approved item cost method change, such as Average to FIFO or FIFO to Average.
  • When support asks you to repair zero-cost inventory transactions.
  • When inventory cost, gross profit, or stock value must be recalculated for a specific date range.
  • After controlled data repair that affects historical item cost.
This command is not a normal daily task. It is a maintenance and support task for correcting or recalculating inventory valuation.

Before You Start

  1. Back up the database. The screen requires a declaration that the backup is complete.
  2. Log off all users. Do not allow invoices, POS receipts, purchases, transfers, adjustments, or returns during reevaluation.
  3. Choose the right date range. Use the dates that cover the transactions needing recalculation.
  4. Know the item scope. Use All only when the correction applies to every item. Otherwise select the affected items.
  5. Use administrator credentials. The form requires an administrator password.

Screen Fields

Field or Option What It Means How To Use It
Declaration checkbox Confirms that all users are logged off and the database is backed up. OK remains disabled until this is selected. Do not select it unless it is true.
Item The item or items to reevaluate. Choose All for a full recalculation, or select specific items for a controlled correction.
From Date The first date QBM includes in the recalculation. Use the first date that contains affected transactions. Closed periods may be protected.
To Date The last date QBM includes in the recalculation. Use the latest affected transaction date, usually today's date when correcting current history.
Type Filters the reevaluation to All, Purchases, or Sales. Use All for most full cost corrections. Use Purchases or Sales only when support identifies a specific document type.
Select button Allows document selection when Type is Purchases or Sales. Use it to narrow the correction to specific purchase or sales documents when needed.
Zero cost only Limits reevaluation to transactions with zero average cost. Select only when fixing zero-cost transactions. Leave unchecked for a normal full recalculation.
User ID The administrator user. The form shows sa. Use the required administrator account.
Password The administrator password used to authorize the task. Enter the correct password before clicking OK.

How To Reevaluate

  1. Prepare the company. Back up the database and confirm every user is logged off.
  2. Open the command. Go to Help > Maintenance > Reevaluate Inventory Transactions...
  3. Select the declaration. Confirm the backup and user logoff statement only when it is true.
  4. Choose item and date range. Select All or specific items, then set From Date and To Date.
  5. Choose Type. Select All unless support instructs you to use Purchases or Sales.
  6. Use Zero cost only if required. Select it only for zero-cost correction scenarios.
  7. Enter password and click OK. Confirm the warning prompt and wait for QBM to finish.

After It Finishes

  • Review item cost, stock value, and gross profit reports for the selected date range.
  • Check Inventory Kardex Detail for affected items.
  • If the task followed a cost method change, compare before-and-after reports with the accountant or support team.
  • Allow users back into QBM only after completion and quick verification.

Troubleshooting

Situation Meaning Action
OK is disabled The declaration checkbox has not been selected. Confirm backup and user logoff, then select the checkbox.
Costs still look wrong The selected date range, items, or type may not include all affected transactions. Review the date range and rerun only if support or the accountant confirms the correct scope.
Closed period is not updated QBM does not update closed dates in this maintenance process. Discuss period closing policy with the accountant before changing closed periods.
