Disassemble Item Guide

A practical guide for taking an assembled item out of stock and returning its component items to inventory.

Inventory & POS Manufacturing End-User Guide

Overview

Disassemble Item records the reverse of a build assembly transaction. It reduces the selected assembled item and increases the component items defined for that assembly.

Use this screen when a finished assembly is physically broken back into its components and the component stock should be returned to the correct locations.

Where To Find It

Path: Inventory > Manufacturing > Disassemble Item

If the command is not visible, check the company edition, the assembly feature setting, and the user's access rights for manufacturing inventory transactions.

How It Works

Choose the location, assembly item, and quantity to disassemble. QBM reads the assembly's component setup and shows the component quantities that will be returned to stock.

The component grid updates while the document is being prepared, but saving still requires a valid positive disassembly quantity and enough assembled-item stock at the selected location.

The list screen can be used later to review, open, print, or delete saved Disassemble Item records when the user has the required permission.

Main Fields

Field Purpose What To Check
Number Identifies the disassembly document. Use the suggested number unless your company requires a manual reference.
Date Controls the transaction date for the inventory movement. Use the real disassembly date and avoid closed accounting periods unless authorized.
Reference Stores an optional external reference. Enter a work order, production note, or other short reference if needed.
Location Identifies where the assembled item is reduced. Confirm the selected location has enough stock for the assembly item.
Job Links the document to a job when the disassembly belongs to project work. Leave it blank when the transaction is not job-related.
Assembly Item Selects the assembly being taken apart. Only assembly items are valid for this workflow.
Available Shows current assembly stock at the selected location. Use it to confirm that the quantity can be saved.
Quantity Sets how many assembled units will be disassembled. Enter a quantity greater than zero.
Description Stores notes about why the assembly was disassembled. Use clear operational notes for later review.

Component Preview

The component grid shows the items that will be returned to stock from the selected assembly setup.

Column Meaning User Action
Item The component item from the assembly setup. Review that the correct components appear before saving.
Location The location where the component stock will be returned. Change it when components should be received into a different location.
Unit The unit used by the component setup. Confirm it matches the expected component unit.
Quantity Per Assembly The component quantity required for one assembled item. Use it to verify the assembly setup.
Total Component Quantity The calculated component quantity for the requested disassembly quantity. Review it before saving.
Quantity The stock quantity that will be returned for the component line. Confirm every line is greater than zero.
On Hand Shows current stock for the component at the selected component location. Use it for review and stock-control awareness.

Recommended Workflow

  1. Open Inventory > Manufacturing > Disassemble Item.
  2. Confirm the number and date.
  3. Select the location where the assembled item is currently stocked.
  4. Select the assembly item and enter the quantity to disassemble.
  5. Review the component preview and update component locations if required.
  6. Add a reference, job, or description when it helps later review.
  7. Choose Save and Done to save and close, or Save and New to continue with another disassembly.

Save Rules

  • The document number and date must be valid.
  • A location and assembly item must be selected.
  • The disassembly quantity must be greater than zero.
  • The selected location must have enough assembled-item stock.
  • The selected assembly must have component lines.
  • Each component line must have a location and a positive quantity.
  • Items that require lot, serial, or expiry tracking are not supported in this disassembly workflow.

Best Practice

  • Review the assembly component setup before disassembling a large quantity.
  • Use a clear reference or description so the reason for the disassembly is easy to audit later.
  • Confirm the component locations before saving, especially when components return to different stores or bins.
  • Use the Disassemble Item List after saving to verify the document was recorded correctly.

Troubleshooting

Issue What To Check
The component grid is empty. Confirm the selected item is an assembly item and that its component setup exists for the selected location.
The document will not save. Check number, date, location, assembly item, quantity, component locations, and available stock.
A stock warning appears. Reduce the quantity or choose the location where the assembled item is actually available.
A tracking warning appears. Use an assembly and component setup that does not require lot, serial, or expiry tracking for this workflow.
The save buttons are disabled. Check whether the user has create or edit permission for Disassemble Item.
