Purge Non-Inventory Transactions Guide

Use this guide when QBM support instructs an administrator to purge internal non-inventory transaction records and then reindex the database.

What This Command Does

Purge Non-Inventory Transactions deletes internal non-inventory transaction records, shows a completion message, and then opens the Reindex Database screen.

This is not a normal data-entry cleanup command. Do not use it to delete customer invoices, bills, payments, or inventory history. Use it only when support confirms it is the right maintenance action.

Where To Find It

Menu path: Help > Maintenance > Purge Non-Inventory Transactions

The command runs from the menu and then opens Reindex Database after the purge is completed.

When To Use It

  • When QBM support identifies non-inventory transaction cleanup as the correct repair.
  • After a controlled repair where old non-inventory transaction records must be removed.
  • When support asks you to run purge followed by reindexing.
If you only need to correct an invoice, bill, payment, item, or report, this is usually not the correct command.

Before You Start

  1. Back up the database. This command deletes records, so a backup is required before proceeding.
  2. Log off all users. No user should post, edit, import, or print during the purge and reindex cycle.
  3. Confirm administrator login. QBM allows this command only for administrators.
  4. Confirm support approval. Keep the support ticket or approval note with the reason for running this command.

How To Run It

  1. Open the command. Go to Help > Maintenance > Purge Non-Inventory Transactions.
  2. Confirm the warning. QBM asks if you are sure you want to continue.
  3. Wait for completion. QBM runs the purge and shows a successful completion message.
  4. Reindex the database. QBM opens the Reindex Database screen after the purge. Complete the reindex process before users return to work.

After The Purge

  • Complete the Reindex Database step that appears after the purge.
  • Open the affected reports or screens that support asked you to check.
  • Keep the database backup until support confirms the repair is complete.
  • Record the date, time, user, and reason the purge was run.

Troubleshooting

Situation Meaning Action
Administrator warning The current user is not an administrator. Log in as an administrator or ask the administrator to run the task.
User cancels the confirmation The purge does not run. No action is taken. Reopen the command only when ready.
Reindex Database opens after purge This is expected behavior. Complete reindexing before allowing users back into QBM.
