Reindex Database Maintenance Guide

Use this guide when QBM support or an administrator needs to rebuild database indexes to improve performance after upgrades, cleanup, imports, or heavy use.

What Reindexing Does

Reindex Database rebuilds the internal indexes used by SQL Server to find and sort QBM data efficiently. It can improve speed in lists, reports, searches, posting, and lookup screens after large activity or database maintenance.

Reindexing does not create new invoices, payments, inventory transactions, or accounting entries. It reorganizes the database structure used for performance.

Where To Find It

Menu path: Help > Maintenance > Reindex Database...

The screen title is Reindex your company database.

When To Use It

  • After upgrading a company database.
  • After purging non-inventory transactions.
  • After large imports or heavy posting periods.
  • When lists, searches, or reports become slower than usual.
  • When QBM support asks you to run a database maintenance cycle.

Before You Start

  1. Back up the database. Reindexing is normally safe, but a backup is still recommended before maintenance.
  2. Run during quiet time. Ask users to log out or avoid posting while reindexing is running.
  3. Use an administrator. QBM checks that the current user is an administrator and that the password is correct.
  4. Confirm the company database. The screen normally shows the current company database.

Screen Fields

Field What It Means How To Use It
Database Name The company database to reindex. Leave the current database unless support instructs you to choose another database.
Browse button Helps select or confirm a database. Use only if the database name must be changed.
User ID The login used to run the maintenance task. Use the approved administrator login.
Password The password QBM verifies before starting. Enter the current administrator password. QBM will not continue if it is wrong.

How To Reindex

  1. Open the command. Go to Help > Maintenance > Reindex Database...
  2. Confirm the database. Make sure the correct company database is displayed.
  3. Enter administrator credentials. Type the administrator user ID and password.
  4. Click OK. Wait until QBM completes the reindexing process.
  5. Confirm the success message. QBM shows a message when the database has been reindexed.

After It Finishes

  • Open common lists such as customers, vendors, items, invoices, and reports.
  • Confirm performance is normal or improved.
  • If the issue remains, record which screen is slow and contact QBM support with details.

Troubleshooting

Situation Meaning Action
Use administrator ID message The current user is not allowed to run this maintenance task. Log in as an administrator or ask an administrator to run it.
Wrong password message The password does not match the expected administrator password. Retype the password or confirm it with the database administrator.
Reindex takes longer than expected The database may be large or heavily fragmented. Wait for completion. Do not close QBM unless support confirms it is safe.
